Office Management and Administrative Project Support (Senior Associate) This position is responsible for providing office management and operations support to the Lexington office, and requires extensive administrative, people, communication, organizational, technical and project management skills. This position also provides support to the local business units, and requires the ability to continuously prioritize multiple projects in a fast-paced environment with a high level of focus on quality, accuracy and confidentiality in all work products. Reports to the Regional Manager and is a member of the Global Services (GS) team. Position Summary: Office Leadership and Support: - Responsible for business planning and strategic office initiatives in collaboration with the office managing partner (OMP), including employee welfare activities, charitable/civic and local contributions and sponsorships. - Collaborate with the OMP on managing the local office budget, including providing budget to actual analysis and forecasting as well as coding and approval of invoices. - Implement firmwide policies and standards at the local office level in collaboration with the OMP. - Lead day-to-day office operations and facilities while working with Firmwide Real Estate on space improvements and design, space utilization reporting and safety and security. - Provide project support to business practice groups, and assist with the production of documents. - Conduct new hire local office orientation and assist with new hire preparations. - Coordinate and support local office events and related activities. - Support local meeting planning and mobility services including conference room and workspace arrangements, catering, maintenance and supplies. - Support incoming and outgoing US mail, FedEx and courier services. - Contact for vendor relations, safety and security, and facility maintenance and repairs, including communication to Building - Management relative to HVAC, lighting and office maintenance issues. - Lead local GS team meetings including agenda focused on local office services cross training, team building, and sharing information and best practices. - Collaborate with local office services team members to ensure coverage of local office support. - Serve as liaison between leadership and other client service professionals to better understand local support needs and develop operational support plan based on these needs. - Evaluate and encourage process improvement to provide effectiveness as well as design, enhance or implement core work processes and work flow to improve operations services delivery. Tax Support: - Merge, E-file and process business and individual tax returns including printing, binding and assembly, utilizing firm determined processes and procedures and tracking systems to ensure all data is entered. - Format and edit letters, reports and other documents in Microsoft and firm applications. - Create, edit and format .pdf files using Adobe Professional. - Prepare and distribute various types of business unit reports including recognizing trends and providing data analysis and reconciliation. - Research information and summarize findings using various Internet search engines and research sites. - Responsible for document management and maintenance using Crowe systems and other applications including SharePoint. - Support various special projects from start to finish using Microsoft, database or web based applications including working with others to ensure quality and timely completion. - Utilize tracking systems to ensure all time and materials are recorded, project work and type are tracked, and project instructions and client interactions are fully documented. Required Qualifications: - College degree is highly preferred. - 5+ years of experience as an office operations and administrative manager in a professional services financial or accounting firm environment. - Strong people services skills with focus on team building, career development and recognition. - Highly effective and polished oral and written communication skills and competency in grammar and attention to detail. - Extensive administrative background with experience working on documents, including reviewing for quality assurance and managing projects and initiatives within office administration and operations. - Intermediate level of expertise in Microsoft Word, PowerPoint, Excel, Adobe Professional, Outlook, and web-based applications are required. Expertise in Visio and SharePoint is preferred. - Ability to learn various other programs and applications as necessary and/or required. - User expertise of office technology equipment such as videoconferencing, multi-function devices and LCD projectors. - Professional presence and exceptional client service skills, exercising a high level of confidentiality in all work products and communications. - Ability to build professional and respectful working relationships at all levels internal and/or external. - Demonstrate openness to new challenges and opportunities and continuous learning. - Ability to function in high stress situations attributed to tight deadlines and multiple client needs or team needs. - Desire to leverage technology to solve business problems with ability to guide others on processes. - Ability to teach and guide others on use of software, tool and processes. - Process oriented, accurate and quality focused with the ability to handle and prioritize multiple projects and tasks. - Ability to bring thought leadership and creativity to content and design of projects and presentations. - Strong critical thinking, problem solving, time management and analytical skills. - Strategic awareness and effective planning and negotiation skills with a high energy level and ability to balance and prioritize projects while leveraging others in order to complete daily responsibilities and projects. - Ability to understand and strictly adhere to the quality standards and procedures established by Crowe, including brand standards and guidelines. Other Requirements: - Able to work flexible hours and schedule including some Saturday’s and late evenings based upon project work and peak busy times. - Ability to work overtime as needed, sometimes on short notice, based on project schedules and peak business periods. Estimate an annual average of 5% overtime. - Flexible to occasional travel based on business support need. - Some light lifting, walking, standing and bending involved. Required Qualifications:
