Who are we looking for?High school degree or equivalent.

Associates degree or coursework in Business, Accounting, or Construction Management preferred.

5 years experience in an administrative role in an office environment

Knowledge of utility operations - preferred

Construction office experience - preferred

Bookkeeping and/or accounting experience - preferred

Experience in administrative support of construction/utility projects - preferred

Special Skills/Abilities Needed:

Ability to function in the digital world, using computer, laptop, tablet, and software to communicate and perform and record work

Proficiency with MS Office Suite, including MS Office 365

Interpersonal skills to foster positive relationships with local colleagues as well as remote corporate office so that productivity is maintained.

Highly organized individual whom can perform well under pressure and ensure deadlines are met

Excellent communication (oral and written), and listening skills with the ability to respond effectively by phone, email, in writing, or in person, in a helpful and professional manner

Solid decision making and ability to resolve "breaks" in the process, along with the understanding of how and when to elevate a particular issue to their manager

Must possess and maintain a valid driver's license

Working knowledge of Peoplesoft, GIS and Enterprise Asset Management Systems preferred

What will you be doing?Partners with the Operations Group and other members of the Delaware business unit to provide general to advanced administrative support to operations with limited oversight. As well supports the Director of Operations with daily administrative work and may act as a subject matter expert in the administrative field. Successful Assistant will have a service-minded, positive attitude and prefers to work in a team environment. Additionally, they will look for innovative ways to better the role, and I will be effective in completing tasks.

The Administrative Assistant will assist the departments with administrative support, record keeping, time entry, invoice and purchase order management, vendor engagement, operational reporting, meeting and event coordination, and other operational support duties using a range of technical skills and abilities.

General Operations Support

Ensure AP Items are exchanged with appropriate approve in Imagenow and entered into the Peoplesoft System for payment approval

Create and monitor recurring payments, AP Templates, and check requests

Act as vendor liaison for any relevant discussion and resolution with local and corporate team

Enter requisitions and file resulting purchase order

Enter receivers upon receipt of delivery tickets or confirmation of completed work

Enter time for Union employees

Facilitate the offsite records retention process

Coordinate office supply orders and facility issues

Facilitate the management of the Business Unit Fleet Management System

Coordinate meetings and training events

Support the Business Unit Cintas Online Order System

Facilitate the Business Unit Purchase Card System

May be called upon to fill in for other Administrative personnel in their absence
