Job Summary

Incumbent will assist in carrying out various human resources procedures and processes. Primary role is to create, maintain, and update employee files in human resources systems. Ensure open jobs are posted accurately and efficiently. Performs project tasks for the Director as required and provides recruiting assistance to all Hiring Managers. Must be well organized, ability to meet hard deadlines and time schedules. Position may require some flexibility with work schedule to include weekend work.

ESSENTIAL JOB FUNCTIONS

Provides administrative support within the recruitment process and sends out weekly job posting updates. Follows KIC process and submits paperwork for pre-employment drug screen and online background check requests. Ensures rehire applicant files are reviewed and approved by Tribal Administrator before re-hire process is initiated. Notifies all Hiring Managers when applicant screening is completed and potential start date(s)

Performs on-boarding tasks such as creating, maintaining, and updating employee records to document personnel actions and to provide information for payroll and other uses. Processes employee information such as personal data, compensation, benefits, performance reviews / evaluations, and termination date and reason. Completes and validates I-9 documentation.

Coordinate with HR Team members as needed to ensure timely and professional onboarding of all new hires. Communicates new-hire orientation schedule with all Hiring Managers. Participates in new-hire orientation as needed.

Maintains knowledge of and can clearly articulate policies, procedures and Tribal Ordinances during on-boarding process.

Take a systems approach to problem solving and process improvement. Understand the Tribe’s and employees needs by demonstrating courtesy, diplomacy and tact during interactions with internal and external parties. Maintains professionalism and confidentiality in all areas of face to face, phone, written, and teleconference communication.

KIC provides training to educate staff. Incumbent will attend company provided internal online workshops and may also participate in external webinars, workshops or similar that will provide value to the company and assist the Incumbent in job knowledge and skills.

Demonstrate continuous initiatives for department operational improvements. Provides general administration support to the HR department as required including filing and other functions.

  • Knowledge of applicant tracking and HRIS systems including Abelia
  • Knowledge of the Health Insurance Portability and Accountability Act (HIPAA);
  • Ability and skill to accomplish very detailed work;
  • Ability to prioritize tasks throughout the day, use time efficiently, sets goals and objectives;
  • Ability to work in a fast-paced environment;
  • Skill to operate multiple software programs;
  • Ability to communicate professionally over the telephone and in person in a positive and clear manner;
  • Ability to manage multiple tasks, including telephone, computer operations and in-person visits simultaneously;
  • Ability to take verbal instruction and complete assigned project by established deadline;
  • Ability to be flexible in order to perform at the highest level as a team player;
  • Ability to utilize maximum degree of professionalism and diplomacy with those who may be experiencing a high degree of stress both mentally and/or physically (both patients and co-workers);

Physical Activities

Must be able to work in an office environment in a stationary position the majority of the work day.

This position needs to occasionally move about inside the office environment to access office equipment, attend face-to-face meetings on / off site as needed, zoom meetings, teleconference calls, videoconferencing, e-mail, and similar activities .etc. Routinely lifting and carrying items and boxes up to ten (10) pounds.

Large portion of time will be spent in front of computer screen, researching and reviewing various documents for final disposition to internal / external customers. Writing by hand and using a personal computer. Traveling occasionally, to out-of-town meetings and functions.

Working Conditions

The environment involves the usual risks and stress of an office environment within a public service facility. The employee may be exposed to communicable diseases. Safety precautions for employees such as blood drawing for screening of various diseases such as hepatitis, required immunizations, etc. are necessary. The employee is occasionally subject to verbal abuse, threats, and physical violence from angry, hostile, or disgruntled employees and/or family members.

QUALIFICATIONS

Licensure

Possess current valid State of Alaska driver's license with a record acceptable to KIC’s Insurance carrier.

Education / Experience

High school diploma or equivalent required. Some college and/or degree preferred.

Prefer two (2) years’ experience in the Human Resources field and / or prior management experience in interviewing and / or coaching employees.

Any combination of related education and/or related experience will be considered if the candidate possesses the demonstrated ability.
