Your Opportunity
Stantec's Monrovia office has an immediate opportunity for an Office Logistics Coordinator with strong detail-orientation and demonstrated document preparation skills to provide administrative assistance and support to our Environmental Services practice. The ideal candidate will possess relevant experience and thrive in a fast-paced and dynamic work environment.
You will play an integral part in ensuring efficient and effective day-to-day office administration, schedule coordination and tracking, and assistance with administrative aspects of project management.
Your Key Responsibilities
Primary responsibilities include processing customer request emails, developing and maintaining the staff schedule in coordination with project management, maintaining regular communication with staff to ensure that client requirements are met, and providing support for field staff. Additional responsibilities include but are not limited to.
Maintaining the paleontology weekly field schedule.
Maintaining data for project work requirements for our clients and Project Managers (Safety/HAZWOPER, project permits, etc.), list of staff qualifications, staff schedule considerations (i.e., night work, travel)
Serving as office point of contact for staff and subcontractors conducting field surveys
Monitoring multiple communications (email/ text/ IM/ phone) from field and office staff to track different activities.
Responsible for setting up and updating projects using Clickup and the internal server system.
Compile project information for field staff (billing details, project safety, contacts, etc.)
Completing safety forms for projects with fieldwork
Serving as the office the Office Safety Environment Coordinator (OSEC) for our field staff.
Maintaining and distributing office stock of our personal protective equipment (PPE)
Responsible for the tracking of equipment. Check in and out of equipment.
Responsible for managing our local fleet vehicles.
Qualifications
Your Capabilities and Credentials
Strong work ethic and excellent organizational skills
Ability to meet tight deadlines with a commitment for excellence in your field
High proficiency within the Windows environment, including MS Office programs (Word, Excel, Outlook, PowerPoint), SharePoint, and Adobe Reader / Writer.
Experience with managing or using Microsoft 365 would be considered an asset.
Excellent communication and interpersonal skills to manage and prioritize multiple, time-sensitive deliverables and deadlines.
Strong written and oral communication skills.
Ability to work proactively in independent and team environments.
Experience within a fast-paced, high demand environment, and able to adapt to programs and processes quickly.
Must be willing to work some evenings and weekends as required with the tradeoff of having flexibility in daily schedule as long as project and schedule needs are met.
Education and Experience
Bachelor's degree in business administration or environmental services preferred or equivalent work experience. Minimum of 1 year experience working in environmental services.
Preferred 2-3 years' experience in project coordination and/or construction coordination.
Travel may be required. Typical office environment working with computers and remaining sedentary for long periods of time. Ability to lift and move items and equipment up to 50 lbs. This role will report into the office 3 days a week with flexibility.
