Summary of Responsibilities:

The Executive Coordinator provides direct support to the President/Chief Executive Officer and plays a key role in the coordination of the communication and day-to-day activities of the Executive Office. The Executive Coordinator also works closely in collaboration with each department (Assisted Living, Real Estate Development, Finance, Asset Management and Accounting and Administrative Services) assisting with planning and managing organization-wide projects. The ideal candidate has a pleasant demeanor, strong respect for confidentiality, a collaborative spirit, and a customer-service oriented attitude. Essential skills include excellent project management competencies, strong verbal and written communications and proofreading skills, database and technological savvy, a love of multitasking, and the ability to maintain calm under pressure.

The Executive Coordinator is responsible for the following day-to-day activities, among others:

Administrative Management and Project Support:

* Provide support to the President in all administrative and project management needs, including:
* Manage key functions of the President’s office, including prioritizing and scheduling appointments and calendar management, and filing
* Ensure that the President is prepared for and has all necessary information and documents to support successful appointments and upcoming deadlines
* Draft and distribute routine correspondence from the President to board members, key partners, funders, and other stakeholder
* Liaise with other departments and committees to accomplish special projects on behalf of the President, including drafting or preparing occasional proposals or presentations

Coordination of the Board of Directors:

* Provide support to President and VP of Finance for the Board of the Directors and related committees, including:
* Manage calendars and scheduling for quarterly board and committee meetings and other activities
* Prepare board and committee agendas and meeting materials, including board presentation
* Provide logistical support ahead of, during, and after each meeting, including preparing minutes and reports
* Manage timely updates to databases and website
* Coordinate and curate all board book materials for orientation for new board members and the annual update

Communications and Additional Supports:

* Heartship Fund program coordination
* Annually update and disseminate program information to Victory communities
* Coordinate bi-annual application process and decisions
* Develop and update reporting standards and template for annual report
* Draft and coordinate annual appeal and related presentations

* Collaborate across the organization to meet the reporting needs of the Executive Office, including:
* Coordinating and supporting presentation of quarterly reporting
* Coordinating and supporting President’s outreach to Victory communities and supporters

* Other duties as assigned

Skills and Knowledge:

* Demonstrated sound judgment and ability to maintain confidentiality.
* Deadline oriented with proven ability to multitask and adjust priorities quickly in a fast-paced environment.
* Excellent administrative, organizational systems and project management skills, with high level of attention to accuracy, detail, and organization. The ability to track and develop timelines is critical.
* Excellent communication skills, verbal and written, including demonstrated writing ability and ability to create presentations.
* Strong problem solving and analytical skills; Proven ability to research, compile large amounts of data and organize into logical format and presentations.
* A desire to work collaboratively across teams.
* Ability to work additional hours when necessary (e.g., attending community meetings, events).
* Excellent computer/technology skills (e.g., databases, Microsoft Office, Adobe, Constant).
* Travel: this position requires local travel within the DC/MD to VHI locations.

Qualifications and Experience:

* Bachelor’s degree required
* Professional or graduate degree in related field or at least 2 years of related professional experience preferred
* Paralegal or Corporate Governance experience helpful
* Demonstrated interest in affordable housing, senior living, planning, real estate development or related fields is a plus
