Position Summary

The Administrative Coordinator is responsible for a broad range of administrative support services primarily to support client management and business development across the organization, and oversees and/or participates in the coordination, supervision, and completion of day-to-day office processes as well as special projects and/or events. The role reports to the Executive Assistant to the Client Management team and is based out of the Annapolis, MD office.


Event Coordination

Support coordination of client and corporate conference and event processes, including:

Help with rollout and management of corporate conference and event maintenance system

Track deliverables associated with conference/event attendance, including: sponsorship details (free/discounted seats and/or other benefits); rooming block; internal attendee requests

Act as internal liaison to make sure all sponsorship benefits are fulfilled and appropriately employed, as applicable, and rooming lists are updated and disseminated in a timely manner

Act as liaison with teams to help ensure client reports are current and accessible

Work with other departments to create tutorial sessions for new and existing employees

Administrative Support

Support organization of client events and management meetings

Support client management team to create and maintain internal processes with marketing and client outreach functions

Support maintaining list of current corporate publication subscriptions and facilitating access for appropriate employees

Support client holiday gifts process,

Work with Client Management team to create and facilitate a regular news rollout to staff members

Ad-hoc Support

Ability to provide ad hoc and backup administrative support as needed, including front desk coverage/support during vacations and out of office

Conduct client and market research as needed

Work Experience and Education

Bachelor's degree required

At least 3 years of administrative experience in a professional office environment

Proficient in Microsoft Office applications, Salesforce experience preferred

Skills and Abilities

Support regular maintenance of Salesforce-based program (PULSE)

Strong written and verbal communication skills

Excellent time management skills and ability to multitask and prioritize work

Close attention to detail and problem-solving skills

Ability to work effectively with clients and vendors (internal or external) at various levels and liaise across all functional areas within the company

Dependable and proactive, takes initiative

Ability to own tasks from start to completion and to manage multiple projects
